Manage seat assignments
How to assign Pro seats to workspace members, check seat usage, and troubleshoot common issues.
Upgrading your workspace plan and assigning seats are two separate steps. After you upgrade (or add seats), you need to assign those seats to specific members before they can use Pro features.
How plans and seats work
Section titled “How plans and seats work”When you upgrade your workspace to Pro (or add seats to an existing Pro plan), you’re purchasing seat capacity — the number of members who can use Pro features. Each seat must then be assigned to a specific workspace member.
Think of it like buying concert tickets: purchasing the tickets (adding seats) and handing them to people (assigning seats) are two separate actions.
- Seat capacity is the total number of seats your workspace has purchased
- Assigned seats are seats actively given to specific members
- Available seats are purchased seats not yet assigned to anyone
A member without an assigned seat will continue to operate under Personal plan limits, even if the workspace has a Pro subscription.
The Settings > Members page shows a seat usage summary at the top of the page (e.g., “11 Total seats / 11 Pro assigned / 0 Pro available”), so you can check capacity at a glance.

Assign seats to members
Section titled “Assign seats to members”Only workspace admins can assign seats. After you have available seats, assign them to the workspace members who need Pro features:
- Go to Settings > Members
- Use the Active tab to find current members
- Find the member you want to assign a seat to
- Click the … (more actions) menu on their row
- Select Assign Seat
- In the dialog, choose the license plan (e.g., Pro) from the dropdown
- Click Save changes
The member will immediately start operating under Pro limits and features. The change is instant — no logout or refresh needed.
Checking seat assignments
Section titled “Checking seat assignments”You can see your workspace’s seat usage in two places:
- Settings > Members — The seat usage summary at the top shows total seats, seats assigned, and seats available. Use the tab navigation (All, Active, Inactive, Invited) to filter the list.
- Settings > Billing — The subscription card shows your plan name, usage, and member counts.
Changing a member’s seat type
Section titled “Changing a member’s seat type”If a member already has a seat and you want to change their plan:
- Go to Settings > Members
- Click the … menu next to the member’s name
- Select Change Seat Type
- Choose the new plan from the dropdown
- Click Save changes
Removing a seat assignment
Section titled “Removing a seat assignment”To free up a seat for another member, you can deactivate a member’s access:
- Go to Settings > Members
- Click the … menu next to the member’s name
- Select Deactivate Member to remove their seat and access
Deactivated members appear under the Inactive tab and can be reactivated later.
Troubleshooting
Section titled “Troubleshooting”I upgraded but my limits haven’t changed
Section titled “I upgraded but my limits haven’t changed”This is almost always because you haven’t assigned a seat to yourself yet. You need to assign a seat:
- Go to Settings > Members
- Find your own name in the member list
- Click the … menu and select Assign Seat
- Choose the Pro plan and click Save changes
Your limits will update immediately.
I assigned a seat but nothing changed
Section titled “I assigned a seat but nothing changed”If you’ve confirmed a seat is assigned but the member is still seeing Personal plan limits, email [email protected] — this may need our team to investigate.
I see “No seats available” when assigning
Section titled “I see “No seats available” when assigning”Your workspace has used all purchased seat capacity. You have two options:
- Add more seats — Go to Settings > Members and add seats from there. See Manage billing and subscriptions for details on your plan.
- Reassign an existing seat — Deactivate a member who no longer needs access, then assign the freed seat to the new member.
A member can’t access Pro features
Section titled “A member can’t access Pro features”Verify that the member has an assigned seat:
- Go to Settings > Members
- Click the … menu next to their name
- If Assign Seat appears (rather than Change Seat Type), they don’t have a seat yet — assign one
I can’t assign seats
Section titled “I can’t assign seats”Only workspace admins can manage seat assignments. If you don’t see the Settings > Members page or the Assign Seat option, ask your workspace admin to assign a seat to you.
I’m not sure how many seats I have
Section titled “I’m not sure how many seats I have”Go to Settings > Members. The seat usage summary at the top of the page shows your total seats, how many Pro seats are assigned, and how many are available.
You can also check Settings > Billing — the current plan card shows your plan details including seat count.
I want to change my plan
Section titled “I want to change my plan”Pro subscribers can change their meeting tier by clicking Change Plan on the Billing page. See Manage billing and subscriptions for details.
